Notes From April 19th, 2005
Pre-Event Planning

Climb for the Cure meeting, 4/18/05
Present: Astor, Chris, Rob, Cathy, Dan, Lori, Mike, Andrea
If your memory of a discussion varies from my notes, please email and correct.
Mike gave Andrea some of the checks so far: $25 Todd Johnson, $50 Brian
Linegar, $25 ?from someone Mike couldn't remember and is supposed to give to
Andrea; $50 Josh Simma for the poster.
T-shirts: Adwear Specialties is making them. Total is $214.50 for 15 t-shirts.
Mike paid; later on Rob mentioned that perhaps those who are belayers or
working the event and take a t-shirt could reimburse Mike the $15 so he doesn't
have to absorb the cost. The group agreed that was the fair thing to do. Please
bring cash or check made out to Mike Endrizzi for $15 for the t-shirt if you're
a main organizer/belayer type person.
Mike asked those who can to take the Wednesday 5 - 6 am WCCO TV show where
Climb for the Cure will be featured a few times. Cathy and Andrea said they can
for sure.
To remember for the future: Chris has connections with Northwestern cable
network. Andrea has a connection with the head of SPNN in St.Paul. Dan has a
"drill" calendar that has all the dates of things so when we look at a date for
the event next year, we can be more cognizant of things with which we don't
want to be in conflict.
It was suggested we meet fairly soon after the event to discuss what went well
and what didn't and discuss future dates. And then meet in a few months to
start planning. It was discussed that maybe spring isn't the best time since
there are so many other competing fundraising events once the weather is nice;
maybe February or late winter is better rather than the sprng or summer for an
indoor event.
Saturday Planning
Table: Chris will bring another laptop, and a power supply. Going to check on
Wed to see if we need power extensions for the two laptops. Cathy is picking up
CCRF's laptop. There are 2 autobelays and 3 ropes.
Could use more belayers; Chris didn't get many responses to his email. Mike is
going to send out email again. Andrea will try to find another person or two
to help her with registration. Not positive she can but will try.
There should be two registration people; a person also to pass out wristbands.
Have to hand in waiver to VE--then get wristband. Someone was going to call VE
and ask if VE will let us use wristbands and it wasn't clear to me who was
going to do that?
Everyone does need a waiver.
Andrea said she'd get 5 Sharpies of different colors, bring ink pens, some
paper.
Mike is going to bring some $1 bills (Mike, note that banks have them ready in
$50 bundles) and a cash bag or box.
Flow of Action:
1) someone is near door and welcomes them and directs them to registration
person.
2) They register and person registering them collects money (check, credit
card, cash). And then hands them waiver and explains they need to go to VE desk
to trade waiver for wristband (did I get that part right?)
3) Someone else is standing near registration desk and when they finish
registering and handing over money, they point them to the VE person who will
collect waiver and gives them wristband. I'd suggest that person can explain
that they will get 5 climbs and each climb will be marked on their wristband.
That person also direct them to the area where they can get help putting on
harnesses, etc.
So we need: (i) door greeter/director; (ii) and (iii) two people
registering/collecting money/handing out waivers to each person; (iv)
post-registering director to direct them to turn in waiver, get wristband,
where to get harnesses. A total of 4 people.
4) Belayers at each station have different sharpie and have to mark the
person's wristband when they are done.
We all agreeed that those who pre-registered have priority and door
greeter/director can handle that if it gets busy enough to warrant doing that.
Andrea, Lori, Cathy and Mike will be there at 3 pm on Saturday to set up.
Sounds like Chris will be there soon after with laptop.
PRIZES
Mike, besides being overall director of the day is also Mr. Prize. He will be
handing them out. Discussed how to randomize folks and Chris and others have
slick plan to combine two laptop lists and assign random hours for each hours
worth of people. Can only win once. Those who register and climb in the 5 - 6
hour will be only ones eligble for 5 - 6 pm prizes, etc. 1 big prize per hour
and several small ones. Giving out prizes on the hour and must be present to
win.
Cathy suggested Andrea develop cheat sheet with things to remember and tell
folks; Andrea will do.
Mike: update website that we can handle credit cards.
